How do I create a mailing list?

You can upload and manage up to 10 different mailing lists for your clients, business associates and prospects. To create a mailing list, simply enter the name of the group you wish to create and click the Add Group button. All of the mailing lists you have stored in the system will appear on this page. You can then add records to a specified Mailing List manually or by using the “Upload Contacts” button to import your list.

How do I change the name of my mailing list?

Click the Edit Group Name button next to the Mailing List you want to change. This changes that Mailing List’s name into an editable field and displays a “Save” and “Cancel” button next to it. Change the name as necessary and click the “Save” button.

What features are available to help me manage my mailing lists?

You can manage your mailing lists by selecting the “View/Manage Lists” button for the list you want to access. Prior to creating a mailing, select and activate the appropriate group lists or specific contacts from your address book. This will ensure you are mailing to the contacts you want to reach. If you have clients you wish to eliminate from a particular mailing, you can do so by selecting 'inactive' status for the client. To activate them again for a future mailing, simply check the box next to their name. You can also Copy/Move, Find, Delete or Edit contacts from this view.

How do I manually add records to my mailing list?

Once a Mailing List is created, you can add records to that list manually. To do so, select the New Contact Button. This displays a form to enter the name and address information for the new contact on the selected Mailing List. Complete the form and click the “Save” button to add this new record. Use the “Save and add another” button to repeat this process as necessary.

How do I upload contacts to my mailing list?

To upload records to a Mailing List, select the mailing list and click the “Upload Contacts” button. This displays a page that instructs you how to export the list from the program that contains your addresses. You will then be asked to format the data to ensure the list is displayed with the headings in the correct order for upload. For assistance in automatically mapping the fields in your program to the required format, please use our Mailing List Wizard. Then enter the name of the file to be uploaded, select the file format and click “Preview”. If the file contains errors in the data or field mapping it cannot be uploaded. Incorrect data will result in undeliverable pieces. If changes are required, make all necessary edits in the original document, and then return to Step 3 to upload the modified file. Once the data is correct, proceed to upload. Your uploaded records can then be accessed from the mailing list view.

What is a Mailing List Wizard?

The Mailing List Wizard provides assistance in automatically mapping the fields in your program to the required format for upload. The wizard will help you match the data fields from the list “source” file to the appropriate “destination” fields. Required fields are denoted by an asterisk (*). Incorrect mapping of fields will result in undeliverable pieces. Carefully review the addresses and make any necessary edits to the original file before uploading.

How do I edit my mailing list?

Records in Mailing Lists can easily be maintained in Merrill Shop. To edit a record, select the mailing list you want to edit and click the “View/Manage List” button. Each record can be edited individually. This changes that record in the list to a form where you can make any changes needed. Then click the “Save” button to save the changes to the record. Or, click the Delete button to remove the record from the Mailing List.

What does the Active column do?

The active column indicates whether a record in a Mailing List will or will not be used when sending products to that Mailing List. This allows you to prevent an individual record from being sent mailings without having to delete them from the list.

How do I download my mailing list?

Mailing Lists can be downloaded into a text file. To download a list, select the Mailing List Group and click the “Download List” button. This opens a page where you can download the list to save the file on your computer.

How do I quickly locate records within my mailing lists?

In order to locate a record within a mailing list, select the group you would like to search and enter the search parameters into the field next to “Find Contacts”. You can narrow the search by selecting various filter options to specify which records you want searched.
